ReadyCheck ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our meeting preparation and collaboration platform.

Information We Collect

Account Information

When you create an account, we collect your email address, name, and optionally your job title and organization name. If you sign in with Google, we receive your basic profile information from Google.

Meeting Content

We store the content you provide through ReadyCheck, including prep submissions, meeting notes, action items, decisions, and parking lot items. If transcription is enabled with consent from all participants, we also store meeting transcripts.

Usage Data

We automatically collect information about how you interact with ReadyCheck, including pages visited, features used, and timestamps. This helps us improve the product and troubleshoot issues.

How We Use Your Information

  • To provide and operate ReadyCheck's core functionality
  • To send meeting-related emails (prep prompts, reminders, agendas, summaries)
  • To generate AI-powered features like personalized prep questions and meeting summaries
  • To improve our product based on usage patterns
  • To respond to your support requests
  • To protect against fraud and abuse

Data Sharing

We do not sell your personal information. We share data only in the following circumstances:

  • With your organization: Meeting content is shared with other members of your organization as part of normal product functionality.
  • Service providers: We use third-party sub-processors to help operate ReadyCheck, including hosting, email delivery, AI processing, and payment processing. These providers only access data as needed to perform their services and are bound by Data Processing Agreements. See the full list in Sub-Processors and Vendors below.
  • Legal requirements: We may disclose information if required by law or to protect our rights.

Sub-Processors and Vendors

We use the following third-party sub-processors to deliver ReadyCheck. Each sub-processor only receives the minimum data necessary to perform its specific function.

AI processing through Anthropic Claude operates under a zero data retention agreement. Your meeting content is processed in real-time and is not stored by Anthropic or used to train their models. Audio sent to Deepgram for transcription is processed in real-time and is not retained after transcription is complete.

Data Retention

We retain your data according to the following schedule:

  • Account information: Retained for as long as your account is active, plus 30 days after account deletion to allow for recovery.
  • Meeting content (notes, prep submissions, action items, decisions): Retained for the duration of your active subscription. Deleted within 30 days of account deletion.
  • Meeting transcripts: Retained for the duration of your active subscription. Audio streams are never stored; only the resulting text transcription is retained.
  • AI-generated content (summaries, agendas, personalized prep): Retained for the duration of your active subscription. Deleted within 30 days of account deletion.
  • Usage logs and analytics: Retained for up to 90 days for troubleshooting, then aggregated or deleted.
  • Billing records: Retained as required by applicable tax and financial regulations (typically 7 years).

You can request early deletion of your data at any time through your account settings or by contacting us at privacy@readycheck.space.

Data Minimization

We follow the principle of data minimization and only collect and process information that is necessary to provide ReadyCheck's services. Specifically:

  • We only request the minimum profile information needed for account setup (email and name). Additional fields like job title are optional.
  • Meeting transcription requires explicit opt-in consent from all participants before any audio is processed.
  • Each sub-processor receives only the specific data required for its function, not your full account data.
  • AI processing is performed on a per-request basis. We do not maintain persistent profiles of your content with AI providers.
  • We do not collect or store biometric data. Audio streams are converted to text in real-time and the audio is never stored.

Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, secure authentication, and regular security audits. For more details, see our Security page.

Your Rights

Depending on your location, you may have the right to:

  • Access: Request a copy of all personal information we hold about you.
  • Rectification: Correct inaccurate or incomplete information.
  • Erasure: Request deletion of your data, subject to legal retention requirements.
  • Portability: Export your data in a machine-readable format (JSON).
  • Restriction: Request that we limit processing of your data in certain circumstances.
  • Objection: Object to processing based on legitimate interests.
  • Withdraw consent: Where processing is based on consent (e.g., transcription), you may withdraw consent at any time.

You can exercise your data export and account deletion rights directly from your account settings. For other requests, contact us at privacy@readycheck.space. We will respond to all rights requests within 30 days.

Data Export and Account Deletion

ReadyCheck provides self-service tools for data portability and account management directly within your account settings:

  • Data export: You can export all of your data (profile information, meeting content, prep submissions, action items, and associated metadata) in JSON format at any time from your account settings.
  • Account deletion: You can permanently delete your account and all associated data from your account settings. Deletion is processed within 30 days and includes removal of your data from all sub-processors.

Organization administrators can also export organization-level data. If you need assistance with a data request, contact privacy@readycheck.space.

Cookies

We use essential cookies to maintain your session and authentication state. We do not use advertising or tracking cookies. Analytics, when enabled, use privacy-respecting methods that do not require cookies.

Data Processing Agreements

We maintain Data Processing Agreements (DPAs) with all sub-processors listed above. These agreements ensure that our vendors:

  • Process your data only as instructed by ReadyCheck
  • Implement appropriate technical and organizational security measures
  • Do not use your data for their own purposes, including model training
  • Notify us promptly of any data breaches
  • Delete or return your data upon termination of service
  • Support our obligations under applicable data protection regulations

Enterprise customers requiring a DPA between their organization and ReadyCheck can request one by contacting privacy@readycheck.space.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through a notice in ReadyCheck. Your continued use after changes constitutes acceptance of the updated policy.
